Introducing Trax - Debt Collection Software
Over the passed few years we have been approached by numerous check cashing institutions asking if we knew of any way to track accurately returned checks. After an extensive search we discovered no workable method of doing so. Most people relied on hand written notes or spreadsheets to track checks returned to them. Some going as far as taking the returned checks behind them on a wall, hoping to collect on the debt. We found this is extremely inefficient and very damaging in collections efforts. Paperwork can be moved, lost or even misplaced. In addition to seeking the repayment of checks, the file management system can also be used to keep track of Money Orders, Wire Transfers, and Cash transactions.

We understand that collections is a difficult process. Trax allows you to change the process of recovering and managing collections. Trax provides you the flexibility needed to take full control over your debt collections process. As well as giving you the ability to collaborate with your managerial staff. It provides a centralized cloud based system to track records of calls, notes, payments, fees and more. Keeping accurate records is critical. Thus, increasing the chances of collecting on the debt. As a Trax user, you can add all of your check cashing institutions where checks are presented for payment. As well as, all your employees working at those locations. You can then add the person(s), company(s), or corporation(s) and all the necessary information pertinent to their account. Trax was created with you in mind and we hope it can become a key player in your collections process.
Once an offending party is in your dependency tree you create a Trax file for each returned item. A file is necessary for every returned check item allowing for complete maker information, payments & fees, notes, call logs, images or media files. Trax also allows you to upload any scanned documents, files, and folders.
In addition, it is also possible to create custom templates for mail merge printing or emailing system generated PDFs via our Trax Triggers. Trax Triggers are customizable allowing individualized templates, via the online Trax interface.
Trax simplifies the system by having file status classifications. Having preset categories such as (Active, Paid In Full, Pending Court Date, Canceled, Closed, and Pending) simplifies and speeds up the addition of information. Trax also has built in the most frequently used return & collection codes. Having these codes available will allow the correct labeling to be utilized.

Trax furthermore, gathers personal information such as a person(s) gender, date of birth, social security number, EIN and other sorts for the file. That information is vital when collecting restitution from the offender. It simultaneously allows you to keep an itemized cost of returned checks and fees. Any fees added to the Trax file increase the original amount of the returned item. Therefore amending the Actual Debt Amount with the incurred expenses.

Below is a simulated Trax file. The information shown, In an all expanded tab view, is for a returned check. As you can see, we gather a large sum of data on any given file. One of the great features is the ability of compressing the information that isn’t needed at any given moment by closing tabs. So by keeping the screen uncluttered, it creates for simpler dealings.
Export Yearly Reports
Trax has two export features that will allow you to export your yearly data. The first is a complete export of the Trax files for the year. The other being your total payments for the year. Each will download as a CSV file.
Fees & Memberships
Currently there are 5 membership methods for the Trax System. Each is designed for you to have the number of locations that would best fit your needs. Our recommendation for most locations is Option 3 if you have more than 3 check cashing location. If you only have 1 then Option 1 will work best for you. Options 1 and 2 will allow you to add additional locations until you reach the cost of the next option, additional fees may apply. Once that point is reached you will be automatically moved to the next option model.
For most locations Option 2 also a good place to start. The reason for this is it allows up to 3 active Trax locations to start with. Allowing you ability to expand adding up to 5 additional locations until you reach the cost of the next option, additional fees may apply. Giving you a total of 8 locations before having to go Options 3 or 4.
All costs listed below do not included the monthly user subscription(s) for use of the OmniV App Suites. Pricing for the OmniV App Suites is per user and billed monthly/quarterly/semi-annually or annually. Unless you are using Option 5 then the full OmniV App Suites may be utilized and enabled upon request.

This option allows you to have unlimited Trax files per check cashing location and with no limit on the number of active locations to system. Discounted for paying yearly. Option V: CORPORATE EDITION
This option allows you to have unlimited Trax files per collections location and with no limit on the number of active locations to system. This option also includes invoicing & past due debt collections, email accounts for all locations using the @traxbyomniv.com domain. Multilingual, System has support supports both English and Spanish*** user interface.
What is an active Trax location?
Active locations are those who are participating at any given moment to view, create, and or modify Trax information. As a manageable feature, every Trax location has contacts/employees that are automatically assigned to it. Each of those contacts if needed can be set up with a username and password. Allowing them to gain access to the Trax system if it is enabled for that location.
Locations having more than one person responsible for returned check collections tend to select the membership option that gives them the most room for growth. Allowing location managers at your check cashing institution to enter Trax data will help in the collections process. As a security feature management users can only see Trax data for their location. As the creator of a dependent location, you can manage all files created by all users under your dependency tree. One must be logged in to the Trax system in order to see, move, or edit any information.
Managers who have access to Trax can see what the status of a given file is. They can also enter payments and provide a digital (email and *SMS text message) or printed receipt when a payment tendered at their location. In order for a location to use the Trax system they must have it enabled by our billing department. Although users can log into App system unless they have Trax active they can not access the Trax System.
Summary Terms of Coverage
The following is a summary of our support agreement coverage. Term - Support services are provided for one year terms from date of purchase. Support contracts and NDAs will be required for any and all services provided by OmniV Systems.
Scope - Technical support is limited to providing assistance and correction of issues related to published product performance, installation, and configuration. OmniV Systems may limit, or terminate support service to, or may elect not to renew additional support, if customer uses the services in an irregular, excessive, abusive, or fraudulent manner.
Availability - Phone and email support is available Monday through Friday, 9:00 am to 4:30 pm Eastern Standard Time – excluding weekends and observed U.S.. Holidays. Support availability may occasionally vary from stated hours due to downtime for systems and server maintenance, company events, and circumstances beyond the control of involved parties. Phone support requests will be handled in the order in which they are received. Email support requests will be processed within one (1) business day.
Third Party Products - Third party applications, hardware, or use of OmniV Systems products in an environment not meeting the products minimum system requirements will not be supported.
Limitations – OmniV Systems does not accept liability beyond the remedies set forth in the Support Agreement Terms and Conditions including any liability for products not being available for use or for lost or corrupted data or software, or the provision of services and support. OmniV Systems will not be liable for lost profits, loss of business, or other consequential, special, indirect, or punitive damages, even if advised of the possibility of such damages, or for any claim by any third party. Customer agrees that for any liability related to the purchase of this service, OmniV Systems is not liable or responsible for any amount of damages above the aggregate dollar amount paid by customer for the purchase of support under this agreement.
Non-Transferable - Coverage is non-transferable and is valid for the Customer only. Resale or transfer of support plans is strictly prohibited, and will be grounds for termination or nonrenewable of support.
